Regulations of the 7th Tavria V Odesa Half Marathon 2022

 

1. Date, Time and Location

Date: September 11, 2022
Time: 07:00 a.m.
Start and finish points: Odesa, 8 Prymorskyi blvd. (Monument to Duke de Richelieu)

2. Race Objectives

«TAVRIA V ODESA HALF MARATHON» (hereinafter – the Race) is held to popularize and promote mass running events in Ukraine, as well as:

  • to popularize and promote a healthy lifestyle
  • to develop mass sports
  • to integrate Ukraine into the global marathon movement
  • to inform, nurture and motivate Ukrainian public, to facilitate achievement of personal athletic goals, to stimulate the growth of sports achievements among the country’s wide grass-root population.
3. Organizers, Patronage and Sponsors

NGO “Run Ukraine” serves as the Race Organizer.
Under the patronage of:

  • Odesa City Mayor, Trukhanov H. L.
  • Odesa Regional Athletic Federation
  • Department of Physical Education and Sport of the Odesa City Council

The Organizer establishes an Organizing Committee from among its own staff, as well as engages different sport-specific specialists.
The Organizing Committee includes:

  • Race Director, Chernitskyi D.L.
  • Project Manager, Tretiakov I.O.

4. Conditions of the Race

The Race is launched during quarantine restrictions implemented by the Government of Ukraine.

The Organizers are considering 2 possible formats of the Race:

In case of additional restrictions introduced by the Cabinet of Ministers of Ukraine or local governments, the offered services, starter pack contents, and schedule may change.

Children’s races may be canceled in the “orange” zone.

There may be some restrictions for the audience in the “orange” zone.

5. Event Program

Starter packs will be distributed to the participants during SportExpo on September 10, 2022 (Odesa city, Chornomorets Stadium, 2nd floor, 1/20 Marazliiivska str., Park Shevchenka)

Please, notice! There will be no distribution of starter packs on the day of the Race on September 11, 2022.

 

September 10, 2022:

10:00 – 20:00 – Distribution of start packages to the participants. Location – Chornomorets Stadium, 2nd floor, 1/20 Marazliiivska str., Park Shevchenka 

 

September 11, 2022:

07:00 – Opening of the Race Village, 8 Prymorskyi blvd. (monument to Duke de Richelieu); 

07:00 – 14:00 – Luggage storage available;

07:30 – Warm-up for adults

07:50 – Opening of the starting block for the courses Tavria V Odesa Half Marathon 21 km, Relay 3х5 km +1х6.0975 km

07:55 – Opening ceremony of the 7th TAVRIA V ODESA HALF MARATHON 2022;

08:00 – Start on the courses Tavria V Odesa Half Marathon 21 km, Relay 3х5 km +1х6.0975 km

08:10 – Opening of the starting block for the course Odesa Mini Marathon 4.2 km 

08:20 – Start on the course Odesa Mini Marathon 4.2 km 

09:30 – Award ceremony for absolute winners on the Odesa Mini Marathon 4.2 km course

09:45 – Award ceremony for absolute winners on the Tavria V Odesa Half Marathon 21 km course, Relay 3х5 km +1х6.097 km, category “City Cup”;

10:45 – Warm-up for participants on the courses sportbank 10 km run, Veteran’s Ten

11:05 – Opening of the starting block for the courses sportbank 10 km run, Veteran’s Ten

11:15 – Start on the courses sportbank 10 km run, Veteran’s Ten;

11:35 – Award ceremony on the course Tavria V Odesa Half Marathon 21 km in age groups, category “The biggest running club”, category “The largest corporate team”;

12:15 – Award ceremony for absolute winners on the 10  km course

14:00 – Closing of the “Race Village”

You need to arrive at 8 Prymorskyi blvd. (monument to Duke de Richelieu) one hour before your race to have time to change, leave your luggage, find your starting block and warm up.

6. Race Entry Conditions

Participants may enter the Race in case they provide all the documents upon receiving the starter’s package:

  • A starter’s letter printed out and signed by the participant (the starter’s letter can be found in the personal profile or in the e-mail box after a successful payment);
  • An ID certifying the age of the participant (required for all participants);
  • A document certifying the right for free participation in the Race or for a discount payment of entry fees.

Participants aged 13 (for the courses of 4.2 km, 5 km) and participants aged 15 (for the course of 10 km) must also provide Parental (legal representative) consent to participation of a minor in the race on the courses of 4.2 km, 5 km, 10 km or relay (Annex 2 or Annex 3 respectively)

 

All registered participants bear sole responsibility for their own lives and health regarding the competition and sign the appropriate statement.

 

Please, notice!

Starter’s package and participant’s race bib number will not be provided in case of failure to provide a proper ID.

Only participants aged 18 or older are admitted to the courses of 21.0975 km. The age of a participant is determined according to Race Regulations of NGO “Run Ukraine”.

 

Please, notice! Children’s races

  • In case there is an indiscrepancy of the child’s age, it is possible to transfer registration to another distance according to the child’s age (if there are available slots). Otherwise, the child will not be admitted to the course and will cease the right to receive a starter pack.

 

Online participation is an option for any Race scenario. To participate online, a participant needs to purchase a Certificate covering postal expenses for the start package to be mailed to the participant, and then the participant needs to run the distance on the day of the race. The result should be mailed to [email protected]. The result testifies to the completion of the race but is not included in the finish protocol.

7. Emergency situations during the Race

TO THE ATTENTION OF ALL RACE PARTICIPANTS!

In the event State Emergency Service issued a warning of possible significant deterioration of weather conditions in the region on the eve of or on the day of the Race or there is a threat to human life and health due to severe weather phenomena (including but not limited to earthquake, flood, hurricane, hail, cyclone, storm, lightning, other natural disasters), the Race Organizer reserves the right to take measures to ensure the safety of participants, audience, fans and all those who directly or indirectly participate in the Race.

The Race Organizing Committee has developed an internal safety scale, according to which in case of severe weather phenomena, the Organizing Committee will act in accordance with the plan and require all participants to strictly comply with its requirements, namely:

1st level of danger – wind with a force of 7-9 meters per second – dismantling of inflatable arches, light structures (including mileage indicators), light awnings, promotional and photo zones.

2nd level of danger – wind with a force of 9.5-10 meters per second – dismantling of all awnings, photo zones, as well as dismantling of the crossbar of the start-finish arch.

The project manager will ask you to remove anything that may be dangerous. 

High probability of cancellation of children’s races. The decision to hold or cancel them will be made immediately before the start of the children’s races based on the actual weather conditions at that time.

3rd level of danger – wind with a force of 11 meters per second and more – a collegial decision to hold or cancel the Race will be made.

The committee in charge of making this decision consists of: Dmytro Chernitskyi, Director of the NGO “Run Ukraine”, Ivan Tretiakov, Project Manager, a representative of the SES in the region, a representative of the title sponsor of the Race (or another official of the title sponsor of the Race).

8. Courses and Routes

Route of the courses Tavria V Odesa Half Marathon 21.0975 km, Relay 3×5 km +1×6.0975 km

Track surface: 70 % – blacktop, 30 % – paving;

Total elevation gain – 100  meters.

The start and finish lines of all courses are located in the same spot.

9. Registration for the Race

Participants are allowed to enter the Race provided proper and timely registration for the Race.

Registration is available online on the Organizer’s website http://odesahalfmarathon.org/

Online registration of participants is open from December 16, 2021, through September 10, 2022 (in case of available slots).

There will be no registration on the day of the Race, on September 11, 2022.

The Organizer of the Race reserves the right to suspend or completely close the registration without any prior notification in case of reaching an established limit of participants.

A participant is considered registered if an application is filled out and the entry fee is paid.

The registration fee paid by a participant is non-refundable no matter the circumstances, including but not limited to: a participant is unable to participate in the Race, to complete the course of choice or finish it within the given time limits, in case of disqualification or if the Race is canceled due to unpredictable consequences of COVID-19 pandemic or force majeure circumstances, etc.

The registration is considered canceled in case submitted data is inaccurate and/or false. In case of registration cancellation, the entry fee is not refunded.

Paid registration cannot be canceled, entry fees are non-refundable.

A participant can request a start package to be mailed to them one week prior to the Race using Nova Poshta services. This is a paid service. A participant should purchase a certificate covering postal charges. This can permit online participation when a participant runs the same distance on the same day but in a different location.

10. The startert’s package may be given to the third party in case of provision of the following documents:
  1. Document certifying the identity of the person receiving the starter’s package (passport, driver’s license, etc.)
  2. Copy of the documents certifying the identity of the person that purchased registration.
  3. Starter’s letter signed by the participant.
  4. Statement from the participant with the following text:

I, (last name and first name of the person that purchased registration), request my starter’s package with the participant’s number (provide you starting number) to be given to my representative (last name and first name of the representative receiving the package) due to the fact that I am unable to receive it in person.

Please, notice! Paragraph 10 does not apply to the participants of any relay or team races, namely Relay 3х5+1х6.0975 km

The team must receive all starter packs at once, which means all team members must come together to pick up the starter packs. One team member may not receive starter packs for the rest of the team.

It means that all four relay team members must be present in person at the time of starter pack pick-up and have to present an ID on the day of distribution of start packs at SportExpo.

10.1 Receiving a starter pack via SMS identification:

SMS-identification is a service that allows identifying the Client in the administration system by sending an SMS-code to the mobile phone specified in the personal account of the participant. The service is provided under the following conditions: The Client knows the starting number of the participant or the ID-order; The Client can tell the SMS code.

11. Entry Fee

Entry fee for the course Odesa Half Marathon 21 km at stage 1 – 207 slots: 780 UAH for members of NGO and the basic registration fee is 900 UAH;

Entry fee for the course Odesa Half Marathon 21 km at stage 2 – 828 slots: 940 UAH for members of NGO and the basic registration fee is 1090 UAH;

Entry fee for the course Odesa Half Marathon 21 km at stage 3 – 345 slots: 1090 UAH for members of NGO and the basic registration fee is 1260 UAH 

 

Entry fee for the course Relay 3×5+1×6.0975 km at stage 1 – 2 slots: 3520 UAH for members of NGO and the basic registration fee is 4080 UAH

Entry fee for the course Relay 3×5+1×6.0975 km at stage 2 – 2 slots: 3920 UAH for members of NGO and the basic registration fee is 4560 UAH 

Entry fee for the course Relay 3×5+1×6.0975 km at stage 3 – 1 slot: 4360 UAH for members of NGO and the basic registration fee is 5040 UAH

 

Entry fee for the course sportbank 10 km run at stage 1 – 81 slots: 680 UAH for members of NGO and the basic registration fee is 790 UAH

Entry fee for the course sportbank 10 km run at stage 2 – 326 slots: 780 UAH for members of NGO and the basic registration fee is 900 UAH

Entry fee for the course sportbank 10 km run at stage 3 – 136 slots: 880 UAH for members of NGO and the basic registration fee is 1000 UAH 

 

Entry fee for the course Odesa Mini Marahon 4.2 km at stage 1 – 40 slots: 550 UAH for members of NGO and the basic registration fee is 640 UAH

Entry fee for the course Odesa Mini Marahon 4.2 km at stage 2 – 80 slots: 600 UAH for members of NGO and the basic registration fee is 690 UAH

Entry fee for the course Odesa Mini Marahon 4.2 km at stage 3 – 30 slots: 700 UAH for members of NGO and the basic registration fee is 820 UAH

 

Participation on the courses “Children’s Races” is free of charge. Registration opens on August 09, 2022.

 

Veteran’s Ten. Participation is free of charge. Limit of participants – 50 participants. Registration opens on May 13, 2021.

 

In case the Race needs to take place in the online format, every participant who has paid the registration fee would receive a refund of 150 UAH transferred to a cashback account.

The cost of participation does not change if the Race is held in the standard format or on a smaller route.

Money transfer commission is not included in the entry fee amount stated above.

Entry fee payment is to be made online using the Organizer’s website www.runukraine.org.

12. Start Packages, Receiving Start Packages

The starter packs will be distributed on September 10, 2022 from 10:00 through 20:00 at the address Chornomorets Stadium, 2nd floor, 1/20 Marazliiivska str., Park Shevchenka 

 

The “starter pack” of a participant on the course of 21.0975 km includes:

  • Race bib number with participant’s name (for those registered by August 10, 2022)
  • Accident insurance for the day of the race
  • Finisher’s medal (awarded if the course is finished within the time limit)
  • Results capturing electronic chip
  • Hairband (for women)
  • Nipple tape (for men)
  • Plastic backpack
  • Changing rooms and luggage storage available
  • Food stations at 5 km, 10 km, 15 km, 18 km, and at the finish line
  • Map of the route

  • Accident insurance for the day of the race – 4 pcs.
  • Results capturing electronic chip – 1 per team
  • Plastic backpack – 4 pcs.

The participant must pick up his/her starter’s package on the designated distribution date. Starter’s package ownership rights are transferred to the participant on the distribution date, regardless of his or her presence or absence. In case of no show, the Organizers take on the responsibility of preserving the goods for one calendar month starting from the date of the Race. During this month the participant can obtain it directly from the Organizers or arrange to have it delivered by the courier service at his or her own expense. After one calendar month from the date of the Race is over, the Organizers withdraw any liability for the security of the product and become entitled to dispose of it at any moment.

Participants are to pick up starter’s packages in person upon presenting the starting letter and ID.

Participants that failed to join the Race can obtain their starter’s package within 30 days after the competition at the Organizer’s office, having preliminary sent notification about their intention to do so by e-mail: [email protected]. They also can place a request to have it delivered to a specified address.

Delivery of starter’s packages is done at the expense of the participant. If possible, the Organizer arranges for partners to provide free delivery.

12.1. Starter pack delivery within Ukraine

Participants may order starter pack delivery within Ukraine using “Nova Poshta” services one week before the event. Delivery may be ordered automatically at registration or using the “Orders” tab in the personal profile https://runukraine.org/user/profile. Starter pack delivery cost is 300 UAH (automatic return of the package in 7 days). In case a participant needs a starter pack to be resent, they need to purchase a “Certificate for re-sending the starter pack” in the online store at the link http://runukraine.org/shopping and submit an individual application by sending an email to [email protected] with «Resending the starter pack No. Delivery certificate number» in the subject line and all the details in the body of the letter: project name, distance, and participant’s race number.

12.2. International starter pack delivery

International starter pack delivery is possible within 30 days after the event. Delivery may be ordered automatically at registration or using the “Orders” tab in the personal profile https://runukraine.org/user/profile. The international starter pack delivery cost is 700 UAH. In case a participant needs a starter pack to be resent internationally, they need to purchase a “Certificate for re-sending the starter pack internationally” in the online store at the link http://runukraine.org/shopping and submit an individual application by sending an email to [email protected] with «Resending the starter pack No. Delivery certificate number internationally» in the subject line and all the details in the body of the letter: project name, distance, and participant’s race number.

13. Team competitions (teams and relay) of athletes

Mixed teams from commercial and non-profit organizations consisting of 4 persons are permitted to participate in the relay. The team consisting of a different number of people will be automatically disqualified.

If the organization can not find 4 members from within the organization, it can invite volunteers.

In the relay race participation of all four team members is mandatory.

The team is considered registered if its representative filled out the application, registration form and paid the entry fee for the team.

The procedure of assigning participants to a particular stage of the relay is performed at registration. The order of participants can be changed through SSeptember 10, 2022, in your personal profile on the website runukraine.org.

 

For participant’s information:

  • During the relay race the procedure of the baton transfer should take place only in the transfer zone.
  • Each team gets ONE result capturing electronic chip.
  • The chip is attached to the leg and passed on in the relay transfer zone.
  • The first participant comes to the starting line with the chip attached to the leg.
  • Team members are not allowed to change their numbers.
  • Relay participants run in the order stated at registration.
  • Finisher’s medals for all stages are given to the participant of the last stage upon crossing the finish line.
  • A finisher’s package (an apple, a banana) is given to each participant upon finishing his/her stage

 

Infringement of any of the above rules will result in disqualification of the entire team.

The result of the last participant at the finish of the fourth stage of the relay is considered to be the result of the relay.

The result of the team scoring is the sum of the official results of all four team members.

Payment for participation in the corporate relay is performed by bank transfer on the basis of invoice issued by the Organizers. Documents confirming the payment should be sent to the email [email protected] no later than 10 days prior to the event. All questions in regard to organization of corporate relay are to be sent to the email address [email protected].

15. Food and Hydration Stations

Food stations and hydration stations are located at 5; 10; 15; 18 km and at the finish line. They have water, medical care, food, toilets, and volunteer assistance available.

16. Award ceremony

21.0975 km course:

For the 21.0975 km course the award is given to those winning places 1 through 5 among men and women in the absolute championship.

The official time used for the calculation of the overall ranking of men and women is the time since the starting gun shot (Gun Time).  

Participants on the 21 km course will be starting in blocks with the interval of 5 minutes with a separate start and starting gun shot according to Race schedule and will be included in the overall ranking among men and women.

For the 21.0975 km course the award is given in age groups, places 1 through 3:

Men: 18-22, 23-29, 30-39, 40-49 50-59, 60-69, 70 and older

Women: 18-22, 23-29, 30-39, 40-49, 50-59, 60-69, 70 and older

 

The age group is assigned based on the age of the participant as of December 31 of the current year. The winners awarded in the absolute championship are not awarded in age groups. The places in age groups are awarded based on the Net Time. 

Award winners and medalists receive monetary rewards and prizes.

Prize scale (currency – UAH). Awarded only in case the race takes place in the “green quarantine zone” on the course that has been certified by AIMS.

Please, notice

 

  • the absolute championship winners of the course 21.0975 km places 1 through 5 among men and women cannot be awarded in age groups
  • Participants participating in wheelchairs or using any other mechanical device on the course may not be awarded in absolute championship or in age groups on any course

 

 

10 km course

For the 10 km course the award is given to those winning places 1 through 3.

The award winners and medalists receive prizes.

Participants on the course Veteran’s Ten are included in the overall ranking on the 10 km course.

4.2 km course

For the 4.2 km course the award is given to those winning places 1 through 3.

The award winners and medalists receive prizes.

The official time used to determine the overall ranking among men and women is Gun Time. 

 

Relay 3×5+1×6.0975 km

On the relay course 3×5+1×6.0975 km, the teams are awarded in absolute championship, places 1 through 3. Awarded only in case the race takes place in the “green quarantine zone” on the course that has been certified by AIMS.

 

4,000 UAH is awarded to the team winning 1st place.

2,000 UAH is awarded to the team winning 2nd place.

1,000 UAH is awarded to the team winning 3rd place.

 

Please, notice! The winning team must come to the Referee Tent upon finishing the course to present identification documents to confirm the stated make-up of the team.

 

City Cup

The Cup is awarded to those demonstrating the best time on the course 21.0975 km among athletes that stated “Odesa” as their city on the registration form. Men and women are awarded separately.

 

Nomination “The biggest running club”

Award for the running club which reached the maximum number of registered participants of the Race on any course.
